How to Set Up an Instructor's Availability Schedule
Learn how to create availability schedules for instructors so customers can book appointments during available times. Availability schedules define when each instructor is available for appointments, and appointment types use these schedules to determine bookable time slots.
How to Set Up an Instructor’s Availability Schedule
Before You Begin
- Ensure you have owner or admin permissions
- Have at least one instructor added to your organization
- Set up schedules before creating appointment types — appointment types require a schedule
Steps
Step 1: Open the Create Schedule form
- Go to Schedule > Calendar > Manage (or navigate directly to the calendar manage page)
- Click the Availability schedules tab
- Click Create schedule
Step 2: Fill out schedule details
- Name (required) — e.g., “Monday–Friday Mornings” or “Weekend Availability”
- Schedule for (required) — select the instructor; note this cannot be changed after creation
- Timezone (required) — select the timezone where the instructor works
Step 3: Set availability times
In the Availability section, use the calendar tool to set days and time blocks. Click or drag to add windows; you can set multiple windows per day and different times for different days.
Step 4: Save
Click Save. The schedule is now available to assign to appointment types.
Tips
- You can create multiple schedules per instructor for different availability patterns (e.g., “Summer Schedule”)
- Schedules can be edited after creation, but the instructor assignment cannot be changed — clone or create a new schedule if you need to reassign
Troubleshooting
No Create schedule button? Only owners and admins can create schedules.
“A timezone is required” error? Select a timezone from the dropdown before saving.
“A label is required” error? Enter a name for the schedule before saving.
Need to assign the schedule to a different instructor? Clone the schedule and assign it to the new instructor, or create a new schedule — the instructor field cannot be edited after creation.
