How to Set Up Custom Appointment and Class Reminder Emails

Configure when reminder emails send, what they say, and (for classes) apply them per class type.

Appointment Reminders

Step 1: Open appointment type settings

  • Navigate to: Schedule > Appointments
  • Open the appointment type to edit

Step 2: Configure reminder settings

  • Find the Reminder or Notifications section
  • Set: When to send (e.g., 24 hours before, 1 hour before)
  • Customize the email subject and body if custom messaging is available
  • Include the virtual meeting URL in the template if the appointment is virtual
  • Save

Class/Event Reminders

Org-wide event/class notification defaults live under Schedule > Calendar Settings (Notifications & Colors) — toggle Default customer notifications for event/class registrations and choose who’s notified. Individual classes can override this.

For custom timing and content (e.g., “24 hours before class”), use an Automation with a Before Class trigger and a Send Email action.

Step 1: Set reminder timing on the class

  • Navigate to: Schedule > Calendar → open a class → edit
  • In the Registration or Notifications section, choose when reminders send relative to class start (e.g., 24h before, 1h before); multiple reminders can be set
  • Save

Using Automations for Custom Reminders

For fully customized reminder content (HTML emails, specific messaging per class type), use the Automations builder:

  1. Marketing > Automations → New Workflow
  2. Trigger: Before Class (or Before Appointment Type) → set timing (e.g., 24 hours before)
  3. Action: Send Email → write your custom reminder template
  4. Publish

This lets you write different reminder emails for different class types (e.g., a yoga class gets a different reminder than a personal training session).

Tips

  • Include the location or virtual link: Reminders are most valuable when they include where to go or how to join.
  • Keep it short: A good reminder has the essentials: date, time, location/link, and how to cancel.

Troubleshooting

Reminders aren’t sending. Check: (1) the reminder is enabled on the class/appointment type, (2) notifications are turned on in org settings, (3) the customer’s email is valid and they’re subscribed.
