How to Set Up Automatic Refunds

Learn how to configure automatic refund policies for classes and events. When customers cancel within your refund window, they'll be automatically refunded without manual intervention.

How to Set Up Automatic Refunds

Before You Begin

  • Ensure you have owner or admin permissions

Steps

Step 1: Open the class or event

  1. Go to Schedule > Calendar (or Schedule > Classes / Schedule > Events)
  2. Click the class or event to open it, then click Edit

Step 2: Set the refund window

  1. Find the Registration section and open its settings
  2. Locate the Refund if canceled before field
  3. Enter the number of hours before start time — cancellations made before this window receive an automatic refund; cancellations after do not

Step 3: Save

Click Save. The policy takes effect immediately.

Note: Waitlist cancellations are always refunded automatically, regardless of the refund window.

How Automatic Refunds Work

  • Within the window — refund is processed automatically to the original payment method; booking credits are restored if applicable
  • Outside the window — no automatic refund; you can still issue a manual refund if needed

Troubleshooting

No refund policy settings visible? Confirm you’re in the Registration section of the class/event edit page and have admin permissions.

Automatic refunds not triggering? Check that the refund window is set, the cancellation falls within the window, and payment processing is active.

Refunds processing when they shouldn’t? Review the refund window value — ensure it’s set to the correct number of hours.

Need to refund outside the policy window? Go to the registration record and issue a manual refund — the automatic policy does not block manual refunds.
