How to Enable Waitlists

Learn how to enable waitlists for events and classes. When events/classes are full, customers can join the waitlist, and you can promote them to active registration when spots become available.

How to Enable Waitlists

Before You Begin

  • Owner or admin permissions required
  • A capacity limit must be set before waitlists can be enabled

Steps

Step 1: Open the event or class

  1. Go to Schedule > Calendar (or Schedule > Events or Schedule > Classes)
  2. Click the event or class to open it for editing

Step 2: Set a capacity limit

In the Registration section, enter a maximum number of registrations. Waitlists require a capacity limit.

Step 3: Enable the waitlist

Toggle Waitlist on in the Registration section. When the event or class is full, customers can join the waitlist instead of registering normally.

Step 4: (Optional) Set a maximum waitlist size

Enter a maximum number of waitlisted customers, or leave blank for unlimited.

Step 5: Save

Click Save. The waitlist is active immediately.

How Waitlists Work

  • When the event/class is full, customers join the waitlist instead of registering
  • When a spot opens, open the waitlist, select a customer, and click Promote — they move to active registration and are notified
  • Waitlist cancellations are always refunded regardless of refund policy, because waitlisted customers never received a confirmed spot

Troubleshooting

Can’t enable waitlist? Confirm a capacity limit is set and you’re editing the Registration section.

Customers can’t join the waitlist? The event/class must be at capacity and the maximum waitlist size (if set) must not be reached.

Can’t promote customers? Confirm there is an open spot and you have permission to manage schedules.
